Managing departments
A department grants no permissions — only a Role does that. It is a named bucket of people that describes how your organisation is arranged, and other modules use it to scope what people see.
- The Access Control module visible in your left-hand navigation.
- This permission: Identity & Users · Department — CREATE, UPDATE, DELETE.
- Nothing here is hidden if your role lacks these permissions — the buttons render either way, and the request fails on submit.
If Access Control isn't in your navigation, your role doesn't have visibility for it — ask a workspace administrator, or see Permissions and module visibility.
Steps
Select Access Control in the side navigation, then Departments in the module rail.
Select Add Department, in the header of every Access Control page. Enter a Department Name and an optional Description, then select Create.
Open the department from DEPARTMENT NAME, or Manage in its MEMBERS cell. Under Manage Members, select Add Members and pick people via Search by user name or email. Each choice saves immediately — there is no Save step.
Use Edit Basic Details and Update to change the name or description. Remove on a member row takes that person out at once.
Select Delete in ACTIONS, then Yes, Delete. The department and its memberships go; the user accounts stay.
What success looks like
- Department created successfully! appears, and the row lists its MEMBERS count and CREATED date.
- Members appear in the member table at once, and their DEPARTMENT column on Users fills in.
- Other modules offer it under Select Departments in their visibility scope.
Where departments show up
A department is selectable everywhere as soon as it exists — there is no publish step. Renaming it updates every scope that uses it; deleting it does not, and nothing warns you that a scope still points at it.
If something goes wrong
| Symptom | Likely cause | What to do |
|---|---|---|
| The page is replaced by Access Forbidden. | Your role lacks the Department permissions, and nothing was hidden to warn you. | Select Go Back, then ask an administrator to grant them. |
| The save action stays disabled, or Name must be 2–100 characters appears. | The name is empty, too short, too long, or uses characters that are not allowed. | Use 2–100 characters — letters, numbers, spaces and . ' - only, including at least one letter or number. |
| Someone is missing from Add Members. | The picker loads at most 100 users and searches only those. | Set it on the person instead: on Users, open their name, choose Department, then Save. |
| MEMBERS shows —. | That row's count could not be loaded. | Select Refresh List. |
