Tracking invitations
Once an invitation is out, Invitations is where you see whether it was taken up. From there you can cancel one that should not have gone out, or send a replacement when the link has lapsed.
- The Access Control module visible in your left-hand navigation.
- These permissions: Identity & Users · Invitation — Read, Identity & Users · Invitation — Create, Identity & Users · Invitation — Delete.
- At least one invitation already sent.
If Access Control isn't in your navigation, your role doesn't have visibility for it — ask a workspace administrator, or see Permissions and module visibility.
Steps
Select Access Control in the left-hand navigation, then Invitations in the module rail. Each row shows USER NAME, EMAIL, STATUS, the pre-assigned ROLE, DEPARTMENT and GROUP, and EXPIRES.
Type into the header search box — Search by user, roles, dept, groups. There is no status filter and no sorting, so for a long list raise Rows per page and read the count line — for example Showing 10 from 24 invitations.
The STATUS badge tells you where the invitation stands — see the table below. Statuses are refreshed when the list reloads, so select Refresh List if a row looks stale.
On a PENDING row, select Revoke Invitation in ACTIONS, then Yes, Revoke. Invitation revoked! confirms it, and the link stops working.
On an EXPIRED or REVOKED row, select Send Invitation. There is no confirmation step: a brand-new invitation goes to the same address with the same pre-assignments, and Invitation sent successfully! appears.
What success looks like
- The row you are watching reads ACCEPTED once the person has used their link.
- Revoking shows Invitation revoked!, and the row becomes REVOKED.
- Sending again shows Invitation sent successfully! and a fresh PENDING row for that address.
What each status means
| Status | Meaning | Action offered |
|---|---|---|
| PENDING | Sent; not yet accepted. | Revoke Invitation |
| ACCEPTED | Taken up — the person now has an account. | None (—) |
| EXPIRED | The 48-hour window passed unused. | Send Invitation |
| REVOKED | You cancelled it. | Send Invitation |
If something goes wrong
| Symptom | Likely cause | What to do |
|---|---|---|
| A row still reads PENDING long after EXPIRES. | You are looking at what the list last loaded; the window closes on the server. | Select Refresh List. |
| The person says their link no longer works. | The invitation has expired or was revoked. | Select Send Invitation on their row and ask them to use the newest email. |
| ROLE, DEPARTMENT or GROUP shows —. | Nothing was pre-assigned, or your workspace has over 100 of them and the name cannot be matched. | Check the entry on Roles, Departments or Groups. |
| Send Invitation does not respond. | Another re-send is still in flight — every one of these buttons waits for it. | Wait for Invitation sent successfully!, then try again. |
| Access Forbidden replaces the whole page. | Your role cannot make that request, even though the buttons are shown. | Select Go Back and ask an administrator — see Permissions. |
