Inviting a user
Invite User creates an account for someone and emails them a link to activate it. It is also the only place you can give a person a Role, so decide that before you send.
- The Access Control module visible in your left-hand navigation.
- This permission: Identity & Users · Invitation — CREATE.
- The person’s email address, plus any role, department or group you want to pre-assign — those must already exist.
If Access Control isn't in your navigation, your role doesn't have visibility for it — ask a workspace administrator, or see Permissions and module visibility.
Steps
Select Access Control in the left-hand navigation, then Invite User. That button sits in the module header, so it is there on Users, Roles, Departments, Groups and Invitations alike.
Fill in Email and Display Name. Both are required, each shows its error only after you leave the field, and Send Invitation stays disabled until both are valid.
Under Pre-Assign (Optional), choose a Role, Department and Group. Departments and groups can be changed afterwards from User Details — a Role cannot, so set it now.
Select Send Invitation. It reads Sending… while it works, then Invitation sent successfully! confirms it, the panel closes and Invitations opens.
What success looks like
- The message Invitation sent successfully! appears and the panel closes.
- Invitations opens with a row for that address, its STATUS showing PENDING and an EXPIRES date.
What the invited person does
The panel’s own note is the rule to repeat to them: "An invitation email will be sent. The user must click the link within 48 hours." Opening the link in time shows Invitation accepted and a read-only Temporary password with a copy button — they must save it, then use Go to sign in and change the password when prompted. See Accepting an invitation.
If something goes wrong
| Symptom | Likely cause | What to do |
|---|---|---|
| Send Invitation stays disabled. | Email or Display Name is empty or invalid. | A display name is 2–100 characters — letters, numbers, spaces and . ' - only. Both fields stop accepting input at their maximum length rather than warning you. |
| Nothing confirms, and the panel stays open. | The invitation was refused — commonly because that address already has an account or a pending invitation. | Read the message that appears, then check Users and Invitations for the address. |
| The whole area is replaced by Access Forbidden. | Your role cannot read or create invitations. | Ask a workspace administrator — see Permissions and module visibility. |
| The row is still PENDING long after the 48 hours. | The list only re-reads status when something prompts it. | Select Refresh List. |
| They report the link no longer works. | It was used already, revoked, or has expired. | Send a fresh invitation from Invitations — see Tracking invitations. |
