Smart Redact specifics

A Smart Redact detects sensitive content and burns an unlabelled box over it, so what anyone else opens is the redacted version. Unique to it: Redaction Configuration and Original Access. Review Required is the same switch other orchestrators use.

What you'll need

• The IntelieDocs module visible in your left-hand navigation.
• Nothing else need exist first. Visibility Scope and Original Access are set after creation, from their own tabs.

If IntelieDocs isn't in your navigation, your role doesn't have visibility for it — ask a workspace administrator, or see Permissions and module visibility.

Steps

1. Under All Orchestrators, select Smart Redact, then Add New — or a name in the list.

2. In Redaction Configuration, pick the Entity Types to look for — built-in kinds of sensitive data. At least one is required.

3. Select Add Pattern, give the row a PATTERN NAME in uppercase letters, digits and underscores, then build its REGEX — see below.

4. Under Redaction Behavior, choose a Burn Fill — Black box or White box — and turn Review Required on to hold documents for a reviewer.

5. Select Submit, or Save as Draft to finish later. Then set Visibility Scope and Original Access, adding Roles, Departments, Groups and Users — saved as you go, with no Save button. An empty Original Access restricts the originals entirely.

What success looks like

• The list row’s ENTITY TYPES cell counts your entity types and any custom patterns.
• Overview shows Review Required as Yes or No.
• A document opens on Redacted; Original is offered only to the people you named.

Building a pattern without regex

A new row opens on Guided, so you need not write a regular expression. Select Start from a common pattern for a ready-made format — it seeds the example and fills a blank PATTERN NAME — or type a real value into Provide an example value to generate pattern. That value is split into parts: every run of letters or digits gets a Type (Fixed text, Letters, Digits or Letters or Digits), a Min length and Max length in characters, and Match any case. Punctuation stays fixed. Assembled pattern previews what will be saved. Select Test pattern, paste into Sample text, and matches highlight live. Advanced still takes a raw Regular expression, and a saved row reopens there.

If something goes wrong

Symptom	Likely cause	What to do
Select at least one entity type	Entity Types is empty.	Choose at least one before saving.
Fix the highlighted redaction settings before saving	A PATTERN NAME is malformed, or a REGEX does not compile.	Select Edit Configuration, fix the row, then Save Configuration.
Each custom pattern must have a unique name	Two rows share a PATTERN NAME.	Rename one.
Editing Original Access confirms a change to visibility scope.	Both scope tabs share one message.	Ignore it; the change reached Original Access.
